Artist Loan Agreement

1. Delivery: Artists, or their representatives, are responsible for delivery of work to the gallery. We are unable to accept artwork through the mail for this exhibit.

2. Participation Fee: Upon acceptance/selection into the exhibit, there is a $35.00 participation fee for each artist, to be paid with the submittal of the loan agreement. The participation fee helps offset exhibit expenses. Some participation sponsorships may be available.

3. Commissions: If you are a member of PVA the commission to the gallery is 30%, for non-members it is 45%. You must be a member in good standing through, date, month and year here, to receive the lower commission rate.

4. Insurance: Each piece is insured to a maximum of $2500. Please contact us if your piece is of a higher value.

5. All framed pieces must be wired and ready to hang, with wire no higher than 2” from the inside bottom of the top of the frame (see photo below). If not able to wire your work make sure that Curators have been contacted with.

1. I will loan Pajaro Valley Arts (PVA) artwork for the exhibit listed above during scheduled exhibit dates.

2. All artwork will be delivered and removed at the designated time unless prior arrangements have been made.

3. Items must arrive labeled with the artist’s name, the title, and description (i.e., “Girl with a Pearl Earring”) on the item’s back or bottom and a removable sticker on the front of the item with the same information. If untitled or specific title is used more than once, number them consecutively (i.e., Untitled 1, Untitled 2, etc.).

DELIVERY: I will hand deliver artwork to PVA Gallery on Saturday, July 18, 2026 from 12PM – 4PM.

PICK UP: I will pick-up artwork on Saturday, September 19, 2026, 4:00PM-6:00PM. Artwork will only be released to the lender or an agent designated in writing and only during the pickup time as scheduled. Sold items will have been released to buyers at time of purchase.

NOTE: PVA will charge $10/day storage fee on any artwork remaining in the gallery after the pickup deadline. Artwork left by the artist 30 days after the deadline, unless prior arrangements have been made, become the property of PVA and may be sold to benefit the organization.

CONDITION OF ARTWORK: Conditions of acceptance will be determined at the discretion of PVA. PVA reserves the right to refuse artwork that it deems structurally not ready for display for any reason.

a) In order to be insured, the lender must take reasonable care to secure the artwork for display. All framed pieces must be wired per the instructions below and ready to hang, with wire no higher than 2” from the inside bottom of the top of the frame (see photos below). PVA reserves the right to choose not to Insure, accept or exhibit artworks that do not meet these criteria or have other unfinished and/or potentially hazardous conditions. b) Artwork delivered to PVA must match the descriptions provided by the artist. Please do not substitute artworks.

INSTALLATION: Artwork that requires a complex installation and de-installation artist(s) must make an appointment with curator ahead of time.

PVA carries a limit of $2,500 per artwork (based on the retail price less PVA commission) for exhibition in the PVA Gallery. All exhibit insurance expires on the last minute of the last day of pick up. PVA is not responsible for work picked up after the deadline. PVA will not be responsible for damages to artwork incurred during shipping.

I agree to allow PVA to publish digital images provided by me for the purposes of press releases and marketing (including but not limited to the exhibit postcard), at their discretion.

b) Must be 300 dpi resolution or better, no larger than 7 inches in any direction.

I also agree to allow PVA to capture images of any work featured in the gallery and to publish at their discretion, including releasing such images to media outlets for the purpose of marketing including PVA’s website, press releases, catalogue, and exhibit literature.

ALL ARTWORK MUST BE FOR SALE.

PVA will retain a commission on all artwork sold during the exhibit, 30% for members (membership must be valid through the end of the exhibit) 45% for non-members. PVA does not negotiate with buyers nor alter the artwork or sell portions of multi-unit artwork, unless the artist has priced them separately. PVA does not sell artwork “unframed” when it is displayed framed.

I understand that a check for payment for artwork that is sold will be mailed within three weeks after the exhibit closes. PVA does not ship artwork. PVA collects payment at the time of sale.

All artwork to be submitted is specifically described in the section below, and all artwork described is covered by this agreement.

I will not remove any artwork after delivery, and not until the pick-up dates and times listed. Only the buyer may remove artwork from the show before it ends.

I understand that all artwork described in the following sections is covered by this agreement and subject to the terms outlined in the “Artist Loan Agreement.” I agree not to remove any artwork before the designated pick-up date and time. Additionally, I consent to PVA publishing my name and details about the artwork submitted.
